How to manage Salla orders efficiently
Order management is the single most time-consuming operation for Saudi merchants. This guide covers the full workflow from the moment an order arrives to delivery, with tips for reducing your cancellation rate.
Order lifecycle in Salla
Every order moves through four core states:
- Pending payment: customer picked a method but hasn't paid yet.
- Processing: payment confirmed, merchant preparing the order.
- Shipped: order handed off to the courier.
- Delivered: customer received the order.
Each state shows a button to push the order to the next stage.
1. Automate order confirmation
From Salla → Settings → Notifications:
- WhatsApp: enable automatic notifications the moment an order is confirmed.
- SMS: a fallback channel when WhatsApp fails.
- Email: detailed receipt.
This reduces "did my order arrive?" questions by 80%.
2. Speed of fulfilment
An order that takes more than 24 hours to prepare exposes you to:
- Higher cancellation rate (customer cancels and orders elsewhere).
- Negative reviews on Google + Salla.
- Loss of the Buy Box in "Awsalni" if you partner with the platform.
Target: 90% of orders prepared within 12 hours.
3. Choosing a courier
The most-used couriers in Saudi Arabia:
- SMSA: nationwide coverage, fastest for Riyadh/Jeddah/Dammam.
- DHL: best for international orders.
- Aramex: lower cost for small parcels.
- Salla Pro Delivery: optimized for domestic Saudi orders.
Pick at least 2-3 carriers so you have a backup if one slows down.
4. Order tracking
Every order must transition to Shipped the moment it's handed off to the courier, with the waybill number filled in. Salla automatically sends the customer a tracking link.
5. Reducing cancellations
The three biggest cancellation drivers in Saudi:
- Slow fulfilment: covered above.
- Hidden shipping cost: show the final cost (incl. shipping) in the cart before checkout.
- Vague delivery window: be precise — "within 2-4 business days".
Common issues
Payment confirmed but order not in "Processing"
Usually a fraud check from the payment gateway. Go to Salla → Payments and review pending payments. If the payment is fully cleared but still not flowing through, contact Salla support.
Customer claims they didn't receive the order
Request proof of delivery from the courier (signature or photo). If genuinely lost, claim against the courier's insurance.
